introduction to Hubdoc

Hubdoc is your online filing cabinet

and it feeds your financial transactions

into your bookkeeping records.

If you are here, it is because

I have recently sent you an

invitation to setup your own login.

The Hubdoc invitations often land in spam.

If you have been unable to locate your

invitation email, go here --- >>

select the "forgot password" option.

Then input your email address

for a password reset link and

set your login up from there.

there are several ways to upload your paperwork

Use the app on your cell phone and snap a photo of receipts as you spend. You may

choose to do these immediately or on a routine weekly/monthly basis. Monthly at

minimum

Log in to your Hubdoc account and drag and drop pdf files from your computer

Email files to your Hubdoc at the email address included in the email you received

Provide the email address to your vendors with a request they send their bills to both

your email address and the filing cabinet

when uploading from your computer

Click UPLOAD DOCUMENT then:

DOCUMENT UPLOAD

This is the one you'll use most often or ALL the time

Add documents via drag'n drop and/or browsing to the file location on your computer

This is suitable for single or multi-page invoices

PDF format, Jpeg or other images

MULTI-PAGE SPLIT

This is only used if you have multiple pages/invoices scanned into ONE document. It is unlikely you will use this.

As an example - when a client delivers a large amount of physical paperwork to me for scanning, I will scan through a pile of up to 50 receipts in one quick action that gives me a single document that I will add to Hubdoc with the "Split" option and break it into individual receipts.

BANK STATEMENT

Bank Statements are to be uploaded in PDF format. This option works but is not necessary. Bank Statements may be uploaded the same as your regular items - using the Document Upload selection

important notes

When taking pictures - be sure the date, business name, taxes & total are visible

^^ Please do not flip the payment slip out of sight - I need to see which bank/credit account was used for payment. Most receipts (home depot, canadian tire, gas etc) show this info on one single receipt.

When forwarding from your email account, the invoice must be an actual PDF attachment OR broken down in the body of the email. If you forward a "share" link or an invoice notification that requires a log in or click to view your invoice, I will be unable to collect it

Do not email a ZIP folder into Hubdoc - it will not work

Restaurants - you should take ONE photo of the receipt and credit card slip side by side - this will allow the gratuity amount to be included and ensure the total purchase input will match what hits the bank
